This notice explains how we use personal information when you visit our website or Bathwise Digital Showroom, buy from us, contact us, visit our showroom, request a consultation or otherwise deal with Bathwise.

Registered office: 265–271 Northfield Avenue, London, W5 4UA

2. Personal information we may collect
Depending on how you interact with us, we may collect identity and contact information; order and transaction information; project information such as room measurements, plans, drawings, photographs, design preferences, budget range and project location; account information; communications with Bathwise; technical and usage information such as IP address, browser/device information, pages viewed, referral information and cookie or similar identifiers subject to applicable consent requirements; marketing preferences and records of consent, objection or opt-out; and information needed to prevent fraud, protect our website and investigate suspected misuse.
Where payment details are processed by our ecommerce or payment providers, Bathwise does not ordinarily need to receive or retain your full payment-card details.
3. How we obtain information
We obtain personal information directly from you when you place an order, create or use an account, visit or contact the showroom, complete a form, request an appointment or communicate with us. We may also receive information from our ecommerce platform, payment providers, delivery partners, suppliers, service providers and analytics or advertising services where lawfully enabled.
4. Why we use personal information and our lawful bases
We use personal information only where we have a lawful basis. Depending on the purpose, this may include:
Contract: to take steps at your request before a contract and to process orders, payments, deliveries, returns, design appointments and agreed services.
Legal obligation: to keep records required by tax, accounting, consumer, company and other applicable laws, and to respond to lawful requests from authorities.
Legitimate interests: where necessary for interests such as running and improving our business, responding to enquiries, preventing fraud, securing our systems, managing customer relationships and understanding service performance, provided those interests are not overridden by your rights.
Consent: where consent is required, including for certain marketing communications and non-essential cookies or similar technologies. You can withdraw consent at any time.
5. Orders, appointments and bathroom projects
We use the information you provide to answer enquiries, prepare or discuss specifications and quotations, arrange appointments, process orders, coordinate delivery and, where separately agreed, support design or installation work. Project information should be limited to what is reasonably necessary for your bathroom or kitchen project.
6. Marketing
We may send electronic marketing where you have consented or where another lawful route, such as the products-and-services soft opt-in, applies. Any soft opt-in is used only where its legal conditions are met, including giving you an opportunity to opt out when details are collected and in each marketing message.
You can unsubscribe from marketing at any time. We may keep a minimal suppression record so that we can respect your request not to receive further marketing.
7. Cookies and similar technologies
Our website uses cookies and similar technologies for functions such as security, basket operation, preferences, measurement and, where enabled, marketing. Cookies that are not strictly necessary will only be used where the applicable consent rules allow them.
You should be given a clear way to accept or reject non-essential cookies and to change your choices. More detailed cookie information may be provided through our cookie preference tool or a separate cookie notice.
8. Who we share information with
Where necessary and lawful, we may share personal information with organisations such as Shopify and ecommerce-support providers; payment and fraud-prevention providers; delivery, logistics and collection providers; manufacturers, distributors and suppliers where needed to fulfil or support an order; IT, hosting, communications, customer-service and security providers; analytics, advertising and marketing providers where lawfully enabled; review, chat, product-option or customer-feedback providers where used; professional advisers; and regulators, law-enforcement bodies, courts or other authorities where disclosure is required or permitted by law.
The Bathwise Digital Showroom is hosted, maintained and supported by OpenAI on Bathwise's behalf. OpenAI processes Hosted Data generated through use of the published Digital Showroom in accordance with the applicable ChatGPT Sites data-processing terms.
We do not sell personal information to advertisers.
9. International transfers
Some service providers may process personal information outside the United Kingdom. Where a restricted international transfer occurs, we take steps intended to ensure an appropriate legal transfer mechanism is in place, such as UK adequacy regulations or approved contractual safeguards, together with any assessment required by law.
For UK Hosted Data collected through the Bathwise Digital Showroom under the current ChatGPT Sites Data Processing Addendum, the documented safeguard is the Standard Contractual Clauses amended by the UK International Data Transfer Addendum.
You can contact us if you want further information about safeguards relevant to a particular transfer.
10. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, tax, warranty, dispute and regulatory requirements.
Order, invoice and core accounting records are generally kept for at least the period required by UK tax and company law, commonly six years.
Enquiry and project information that does not lead to an order is normally reviewed and deleted or anonymised when it is no longer reasonably needed; as a working standard we aim to review inactive enquiries after 24 months.
Customer-account information may be kept while the account remains active, with transaction records retained separately where legally required.
Marketing information is kept until you unsubscribe, object or it is no longer appropriate to use it, subject to retaining a minimal suppression record where needed to honour an opt-out.
Cookie and technical-data retention varies by technology and should be described in the relevant cookie controls or provider information.
11. Your data protection rights
Depending on the circumstances and lawful basis, you may have rights including access to your personal information, correction, erasure, restriction, objection and data portability. Where we rely on consent, you can withdraw it at any time without affecting processing that was lawful before withdrawal.
You have the right to object to direct marketing at any time.
Some rights are subject to legal conditions and exemptions. We may need to verify your identity before acting on a request.
12. Data protection complaints
If you have a concern about how Bathwise uses your personal information, please contact us first at info@bathwise.uk.com. We will handle data-protection complaints through our internal complaints process and respond in accordance with applicable data-protection law.
You also have the right to complain to the Information Commissioner's Office, the UK data-protection regulator. Information about making a complaint is available from the ICO at ico.org.uk.
13. Security
We use reasonable organisational and technical measures designed to protect personal information. No online service can guarantee absolute security, so customers should also protect account credentials and contact us if they believe an account or communication has been compromised.
14. Automated tools and fraud checks
Bathwise may use AI-enabled tools to assist staff with website administration, customer-service drafting and internal business operations. Where personal information is involved, we aim to use only the minimum necessary and keep human oversight appropriate to the task.
Our ecommerce, payment or security providers may use automated tools to identify suspicious transactions or website activity. Bathwise does not intend to make decisions based solely on automated processing that produce legal or similarly significant effects on you unless we have a lawful basis and provide any additional information required by law.
15. Children's information
Our store and services are aimed at adults arranging purchases or projects. We do not intentionally collect children's personal information for marketing purposes.
16. Changes to this notice
We may update this Privacy Policy when our services, technology or legal obligations change. The latest version will be published on our website with its revision date.
